Understanding the Settings Page

A Quick Guide to Where Things Live

The Settings area in FranFlow is where you manage how the platform works for you and your business.

When you click Settings in FranFlow, you enter a separate area with its own navigation menu on the left side.

This section contains many configuration tools, but most franchise consultants only need to work with a few of them.

This guide will help you understand:

  • What each section does

  • Which settings matter most for getting started

  • Which areas you can ignore for now

How the Settings Page Is Organized

The Settings page is divided into three main sections:

  1. Business Settings

  2. Business Services

  3. Other Settings

Not every option in these sections is required for day-to-day franchise consulting work.

FranFlow focuses on a small set of tools that help you manage candidates, communications, and scheduling.

Business Settings

These settings manage your personal profile and business information.

Business Profile

This section stores basic information about your consulting business.

Examples include:

  • Business name

  • Website

  • Contact phone number

  • Address

This information may appear in emails, reports, or system records. Most consultants only update this once during initial setup.

My Profile

This section manages your personal account settings.

Here you can update things like:

  • Your name

  • Profile picture

  • Email signature

  • Contact information

Billing

Billing manages your FranFlow subscription and payment information.

Most consultants do not need to access this regularly.

Staff

This section is used to manage team members who have access to the system.

Examples include:

  • Adding new consultants

  • Assigning user access

  • Managing permissions

If you are the only user in your FranFlow account, you likely won’t need to adjust this section.

Opportunities & Pipelines

This area manages your sales pipeline structure.

Pipelines help track where candidates are in the franchise discovery process.

Examples include stages like:

  • New Lead

  • Intro Call Scheduled

  • Franchise Presentations

  • Coaching Process

  • Legal & Placement

FranFlow pipelines are designed to align with FranTracker candidate stages so both systems stay consistent.

Business Services

These settings control the main tools you use to communicate with candidates.

Calendars

Calendars allow candidates to schedule meetings with you automatically.

You can create booking links for:

  • Intro calls

  • Follow-up consultations

  • Franchise recommendation calls

Email Services

This section manages how FranFlow sends and receives emails.

This includes:

  • Connecting Gmail or Outlook

  • Two-way email sync

  • Sending domains

  • Email deliverability setup

If email is not configured correctly, candidates may not receive your messages.

We recommend reviewing the Email Services articles if you plan to send emails from FranFlow.

Phone Systems

Phone Systems allows you to manage phone numbers used for calls and SMS messages inside FranFlow.

This can include:

  • Sending text messages to candidates

  • Making calls directly from the system

  • Tracking communication history

We’ll cover phone systems in a separate article.

WhatsApp

This section is used for WhatsApp messaging integrations.

Most franchise consultants do not use this feature during initial setup.

Other Settings

This section contains additional configuration tools.

Many of these settings are advanced features and are not required for everyday use.

Below are the areas most relevant to FranFlow users.

Custom Fields

Custom fields allow FranFlow to store structured data about candidates.

Examples include:

  • Liquid capital

  • Net worth

  • Desired market

  • Decision timeline

Many of these fields connect directly to FranTracker candidate data.

We recommend avoiding changes to existing fields unless you understand how they are used.

Custom Values

Custom values store reusable information that can automatically appear in emails, templates, or automations.

Examples include:

  • Company contact details

  • Website links

  • Standard messaging information

This allows you to update information once and apply it everywhere.

Domains & URL Redirects

This section manages custom domains used for:

  • Email sending

  • Tracking links

  • landing pages

If you plan to send campaigns or automated emails, your domain may need to be configured here.

Settings You Can Safely Ignore (For Now)

Some settings exist for advanced functionality or integrations.

Most franchise consultants do not need to use them during initial setup.

Examples include:

  • External Tracking

  • Integrations

  • Private Integrations

  • Manage Scoring

  • Objects

  • Tags

  • Labs

  • Audit Logs

  • Brand Boards

These tools may be used later as your FranFlow setup becomes more advanced.

When setting up FranFlow for the first time, focus on these areas first:

My Profile: Add your profile photo and email signature.

Calendars: Create your intro call booking calendar.

Email Services: Connect Gmail or Outlook so emails sync properly.

Opportunities & Pipelines: Understand the candidate lifecycle stages.

Custom Fields: Review the fields used to track candidate information.

Once these areas are configured, FranFlow is ready to support your day-to-day consulting workflow.
