Export Clients and Journals from FranTracker

In order to kick off with FranFlow, you need to pull in your existing clients/candidates from your sources. For most consultants, this will be FranTracker.

Step 1: Log Into FranTracker

  1. Open FranTracker

  2. Log into your account

Step 2: Export Clients

To export your client list:

  1. Navigate to the Clients section

  2. Locate the Export option (typically found near filters or settings)

  3. Select Export Clients

  4. Download the file (usually a CSV)

This file will include your contact data such as:

  • Name

  • Email

  • Phone number

  • Location

  • Candidate details

Step 3: Export Journal Entries

Journal entries include notes, activity history, and interactions with your candidates.

To export:

  1. Navigate to the Journal or Activity section

  2. Locate the Export option

  3. Select Export Journal Entries

  4. Download the file

This ensures you retain important context and communication history.

‼️ Important: Avoid Importing Everything at Once

If you have a large number of leads (e.g., 1,000+), avoid importing all contacts at once manually.

Large imports can overwhelm the system and cause failures.

Review Active vs Inactive Leads

Before importing, consider:

  • Which leads are still active

  • Which leads are no longer engaged

🪄 Best Practice:

✔ Import active leads
✔ Add a DND (Do Not Disturb) tag to inactive leads

This prevents accidental outreach to old or inactive contacts.

Keep FranFlow as Your Primary System

After importing, FranFlow should become your primary system for managing candidates.

Avoid managing leads in multiple systems long-term to prevent confusion.

What to Do Next

After exporting your data:

➡ Import your contacts into FranFlow
➡ Begin using FranFlow workflows and automations
➡ Use forms for all new incoming leads
