Once candidates begin booking meetings, FranFlow gives you two main ways to view and manage your schedule:
Calendar View – a visual schedule of meetings
Appointment List View – a detailed list of all booked appointments
Both views allow you to:
✔ See upcoming candidate meetings
✔ Edit appointment details
✔ Cancel or delete bookings
✔ Filter by user, calendar, or date
✔ Add new appointments manually
Understanding both views will help you manage your schedule more efficiently.
Where to Find Your Calendar
To view scheduled appointments:
Log into FranFlow
Click Calendars in the main menu
You will now see your Calendar View, which displays appointments visually by date and time.
Calendar View (Visual Schedule)
The Calendar View shows meetings in a traditional calendar format.
You can switch between:
Day view
Week view
Month view
Each appointment appears as a scheduled block on the calendar.
How to Access Appointment List View
In addition to the calendar layout, FranFlow also offers an Appointment List View.
This view shows meetings in a structured list instead of a calendar.
You can see:
✔ Contact name
✔ Appointment date and time
✔ Assigned user
✔ Calendar used
✔ Appointment status
This view is helpful when managing multiple meetings or reviewing upcoming calls quickly.
Go to Calendars
Select Appointment Listing (or List View)
You will now see all scheduled appointments in table format.
How to Add a New Appointment
You can manually schedule a meeting for a candidate. There's a few ways you can add an appointment:
From Calendar View
From Appointment View
From a Candidate Profile
From an Opportunity
Candidates can schedule on your calendar directly using a Calendar Link. To review how to manage and edit calendar links, check out our article on Creating Calendars
There's multiple ways to add an appointment to make it easier depending on where you're at in FranFlow at the time you need to schedule an appointment.
🪄 Best Practice: Add from the Appointment View or Candidate Profile
To add a meeting:
Using Calendar View:
Go to Calendars
Click the + New button
Select the calendar you want to use
Note: It will default to the one you're currently viewing or have filtered. Check out filtering calendars for more information.
Enter the Contact name
Select the meeting date and time
Add location details (Zoom, phone, etc.)
Click Save
The meeting will now appear on the calendar and inside the Contact record.
Using Appointment View
Go to Calendars
Select Appointment View
Click the + New Appointment button
Select the calendar you want to use
Note: It will default to the one you're currently viewing or have filtered. Check out filtering calendars for more information.
Enter the Contact name
Select the meeting date and time
Add location details (Zoom, phone, etc.)
Click Save
Using Candidate Profile
Select Contacts
Search your candidate
Select the Calendar Icon on the right side of the profile
Select Add + at the top
Select the calendar you want to use
Enter the Contact name
Select the meeting date and time
Add location details (Zoom, phone, etc.)
Click Save
From an Opportunity
Select Opportunities
Select the Opportunity that's associated with your candidate you're wanting to schedule with
Select Book/Update Appointments
Select the calendar you want to use
Enter the Contact name
Select the meeting date and time
Add location details (Zoom, phone, etc.)
Click Save
How to Edit an Appointment
If you need to change meeting details, you can use any of the methods listed above to locate the calendar invite. That includes:
From Calendar View
From Appointment View
From a Candidate Profile
From an Opportunity
Once you locate the appointment, make the necessary updates:
Select Edit
Update details such as:
Date or time
Meeting location
Assigned user
Click Save
The updated meeting will automatically update for the contact.
How to Delete or Cancel an Appointment
If a meeting is no longer needed:
Click the appointment
Select Delete or Cancel
Confirm the change
This removes the appointment from the calendar.
Important:
Deleting the meeting does not delete the contact record.
