Custom Values in FranFlow

Setup Checklist & How to Use Them

Custom Values in FranFlow allow you to store information once and reuse it across emails, text messages, and workflows.

Instead of updating the same link or message in multiple places, you can update it in one location and have it automatically apply everywhere.

This is especially important for:

  • Calendar links

  • Contact information

  • Standard messaging

  • Automation workflows

What Are Custom Values?

A Custom Value is a reusable variable that inserts information automatically.

For example:

Instead of typing your calendar link in every email, you can use a custom value like:

{{custom_values.intro_call_link}}

If the link ever changes, you only update it once in Custom Values.

Where to Find Custom Values

To access Custom Values:

  1. Log into FranFlow

  2. Click Settings

  3. Select Custom Values

You will see folders that organize your values.

Step-by-Step Setup Checklist

Follow this checklist to review and configure your Custom Values.

Step 1: Review Pre-Built Custom Value Folders

FranFlow includes pre-built folders to help you stay organized.

Most important:

Calendar Links Folder

This folder stores your scheduling links.

Common values include:

  • Intro Call

  • Follow-Up Call

  • Consultation Call

Step 2: Add Your Calendar Links

Once your calendars are created, copy each scheduling link and paste it into the correct Custom Value.

How to Update a Custom Value

  1. Go to Settings β†’ Custom Values

  2. Locate the correct value (example: Intro Call)

  3. Paste your scheduling link

  4. Click Save

Important: If you update or change a calendar URL later, you must update the Custom Value.

Otherwise, workflows and messages will use the old link.

Step 3: Use Custom Values in Workflows

Custom Values are commonly used inside workflows for:

  • email links

  • SMS messages

  • scheduling prompts

πŸ”Ž Example: Instead of pasting a link directly into a message, use the Custom Value. This ensures consistency across all automations.

Step 4: Avoid Hardcoding Links

Do NOT paste raw links directly into workflows if a Custom Value exists.

Always use the Custom Value instead.

Why This Matters

If you paste links manually:

  • You must update every workflow individually

  • It increases the risk of broken links

  • It creates inconsistency across messages

Custom Values solve this problem.

Step 5: Test Your Custom Values

After updating your values:

  1. Send yourself a test email or SMS

  2. Confirm the correct link appears

  3. Click the link to ensure it works

This ensures everything is connected properly.

Step 6: Understand Where Custom Values Are Used

Custom Values are used across:

  • Workflows

  • Emails

  • SMS messages

  • Automation sequences

They act as the β€œsource of truth” for commonly used information.

Step 7: Keep Custom Values Organized

FranFlow uses folders to keep values organized.

πŸͺ„ Best practices:

βœ” Keep naming consistent
βœ” Avoid duplicate values
βœ” Use clear, descriptive names
βœ” Store similar values together

This makes it easier to manage as your system grows.

Common Mistakes to Avoid

Forgetting to Update Custom Values

If you change a calendar or link but don’t update the Custom Value:

  • workflows will use outdated links

  • candidates may book incorrect appointments

Creating Duplicate Values

Avoid creating multiple Custom Values for the same purpose.

This can lead to confusion and inconsistency.

Not Using Custom Values in Workflows

If you hardcode links instead of using Custom Values:

  • updates become manual

  • errors are more likely

πŸͺ„ Best Practices:

βœ” Use Custom Values for anything reused multiple times

βœ” Always store calendar links in Custom Values

βœ” Update values in one place instead of multiple workflows

βœ” Test after making updates

βœ” Keep your system clean and organized

Why Custom Values Are Important

Custom Values make your system:

βœ” easier to manage
βœ” more scalable
βœ” less prone to errors
βœ” faster to update

They are a key part of keeping FranFlow organized and efficient.
