Dedicated Email Sending – Complete Troubleshooting Guide

(Custom Domains, LC Lead Email & Dedicated IP in FranFlow)

If something isn’t working with your email sending setup, use this guide before contacting support.

Most issues are simple and fixable in under 10 minutes.

First: Identify the Problem

Which one are you experiencing?

A) Domain won’t verify
B) Emails going to spam
C) LC Lead Email not sending
D) Everything was working and suddenly stopped

Find your section below.

A) My Custom Domain Won’t Verify

This is the most common issue.

Step 1 – Double Check DNS Records

Go to your domain provider (GoDaddy, Google, etc.)

For EACH record FranFlow gave you:

✔ Record type matches exactly (TXT / CNAME / MX)
✔ Host/Name matches exactly
✔ Value matches exactly
✔ No extra spaces
✔ No missing characters
✔ Added under correct domain

Common mistakes:
❌ Added records to wrong domain
❌ Typed instead of copy/paste
❌ Removed part of long TXT string
❌ Used main domain instead of subdomain

Step 2 – Wait for Propagation

DNS changes can take:

• 5–15 minutes
• Sometimes up to 24 hours

If you just added records, wait and try Resync / Verify again.

Step 3 – Confirm You Used a Subdomain

Correct:

send.yourdomain.com

Incorrect:

yourdomain.com

You must use a subdomain for sending.

If after 24 hours it still says Unverified:

✔ Recheck every record
✔ Take screenshots
✔ Contact FranFlow support

B) Emails Are Going to Spam

If your domain verifies but emails land in spam:

Step 1 – Confirm Domain Status

Go to Settings → Custom Domains

✔ Domain says Verified
✔ LC Lead Email is selected as default

If not → fix immediately.

Step 2 – Check Sending Volume

If you just started sending large campaigns:

• Warm up gradually
• Avoid blasting large lists immediately

New domains need reputation building.

Step 3 – Confirm SPF, DKIM & DMARC Records

If these records were removed or changed:

• Deliverability drops immediately
• Emails may fail authentication

Reverify DNS records in your domain provider.

  • Don't use spammy language in subject lines and preview (e.g. don't use all caps and fluffy grabs like: HOW TO MAKE A MILLION DOLLARS)

  • Add alt text to images in emails for email readers (e.g. when you import an image it may be the file name with random characters)

  • Don't use purchased lists

  • Remove bounced emails from future sends so there's no reattempts

  • Make edits to your email if you're having AI write it (yes, email applications can tell if it's written by AI now!)

  • Maintain consistent number of sends

C) My LC Lead Email Won’t Send

Check 1 – Is Domain Verified?

If not verified → it won’t send.

Check 2 – Is LC Lead Email Set as Default?

Go to Settings → Email Services

✔ Confirm correct sender email
✔ Confirm no typos

Check 3 – Send a Test Email

Send to:

✔ A Gmail account
✔ An Outlook account

If neither receives it:

✔ Reverify domain
✔ Reconnect email services
✔ Clear browser cache and retry

D) Everything Was Working and Suddenly Stopped

Most common causes:

✔ Domain hosting provider changed
✔ DNS records were edited
✔ Website migrated
✔ Domain renewed incorrectly
✔ Someone removed TXT records

Fix:

  1. Go to domain provider

  2. Check DNS records still exist

  3. Re-add missing ones

  4. Click Verify again in FranFlow

Universal 5-Minute Reset

If unsure what’s wrong:

  1. Confirm domain is Verified

  2. Confirm LC Lead Email is default

  3. Resync records

  4. Send test email

  5. Clear browser cache

  6. Log out and back in

This fixes most issues.

Advanced Checks (Optional)

If you’re comfortable:

✔ Check MXToolbox for SPF/DKIM status
✔ Inspect email headers in Gmail
✔ Confirm “Signed by” matches your domain

If this feels overwhelming — skip it.

When to Contact Support

After confirming:

✔ DNS records correct
✔ Domain verified
✔ LC Lead Email correct
✔ Dedicated IP active
✔ Tested sending

If it still fails:

Send support:

• Screenshot of Custom Domains page
• Screenshot of DNS records
• The test email address used
• Exact error message

The more detail you send, the faster resolution happens.
