Stay in sync with your Gmail or Outlook inbox — send and receive all emails inside FranFlow. This saves you time and energy as you manage all your candidates as scale.

Two-Way Email Sync means your normal email account (Gmail or Outlook) connects with FranFlow so that:

✔ Emails you send in FranFlow show in your regular inbox
✔ Emails you send in your inbox show in FranFlow
✔ Replies from contacts automatically appear in the contact’s timeline
✔ You don’t lose track of conversation history

This is essential for keeping your communications organized, especially when managing franchise candidates and ongoing follow-up.

Why You Should Set Up Two-Way Email Sync

Without sync:

  • Emails don’t automatically appear in FranFlow

  • You can’t see message history in a contact’s profile

  • Automations can’t trigger off replies

With sync:

  • Everything appears in one place

  • Your history stays complete

Supported Providers

FranFlow currently supports two types of email accounts for two-way sync:

Gmail / Google Workspace accounts
Microsoft Outlook / Office 365 accounts

Before You Begin

How to Set Up Two-Way Email Sync (Gmail)

This works with Gmail or Google Workspace accounts.

Step-by-Step

  1. Go to Settings in FranFlow

  2. Click Email Services

  3. Select Connect Gmail

  4. Choose Google / Gmail

  5. A Google login window will open

  6. Enter your Gmail email address

  7. Enter your password

  8. Approve the permissions FranFlow requests

  9. Wait for confirmation

  10. You’ll see: Connected

What Happens Next

Once connected:

✔ Emails sent from Gmail show up in FranFlow
✔ Replies from candidates show in FranFlow
✔ You can send email replies directly from FranFlow
✔ It stays connected in both directions

If you ever want to disconnect, you can do so from the same Email Services screen.

This works with Microsoft Outlook / Office 365 business inboxes.

Step-by-Step

  1. Go to Settings in FranFlow

  2. Click Email Services

  3. Select Connect Outlook

  4. Choose Microsoft / Outlook / Office 365

  5. A Microsoft login window will open

  6. Enter your Outlook email address

  7. Enter your password

  8. Approve the permissions FranFlow requests

What Two-Way Sync Does (and Doesn’t) Do

What It Does

What It Doesn’t Do

❌ Sync old emails from before connection
❌ Sync teams’ shared inboxes (unless configured individually)
❌ Automatically route email to automation folders

It only syncs new and future messages once connected.

✨ If responding in your email inbox, always use the connected account
