Two-Way Email Sync means your normal email account (Gmail or Outlook) connects with FranFlow so that:
✔ Emails you send in FranFlow show in your regular inbox
✔ Emails you send in your inbox show in FranFlow
✔ Replies from contacts automatically appear in the contact’s timeline
✔ You don’t lose track of conversation history
This is essential for keeping your communications organized, especially when managing franchise candidates and ongoing follow-up.

Without sync:
Emails don’t automatically appear in FranFlow
You can’t see message history in a contact’s profile

Supported Providers
FranFlow currently supports two types of email accounts for two-way sync:

Before You Begin
Make sure you have:
✔ Your email login credentials
✔ Access to your Gmail or Outlook account
✔ Multi-factor authentication (if enabled)
✔ Your web browser open
Do not proceed if:
❌ You’re trying to sync a generic support inbox without permissions
❌ You don’t know the email password
❌ You don’t have inbox access
Always use a business email that you check regularly.
How to Set Up Two-Way Email Sync (Gmail)
This works with Gmail or Google Workspace accounts.
Step-by-Step
Go to Settings in FranFlow
Click Email Services
Select Connect Gmail
Choose Google / Gmail
A Google login window will open
Enter your Gmail email address
Enter your password
Approve the permissions FranFlow requests
Wait for confirmation
You’ll see: Connected
What Happens Next
Once connected:
✔ Emails sent from Gmail show up in FranFlow
✔ Replies from candidates show in FranFlow
✔ You can send email replies directly from FranFlow
✔ It stays connected in both directions
If you ever want to disconnect, you can do so from the same Email Services screen.

Go to Settings in FranFlow
Click Email Services
Select Connect Outlook
Choose Microsoft / Outlook / Office 365
A Microsoft login window will open
Enter your Outlook email address
Enter your password
Approve the permissions FranFlow requests

What Two-Way Sync Does (and Doesn’t) Do
What It Does
✔ Syncs email in both directions

What It Doesn’t Do
❌ Sync old emails from before connection
❌ Sync teams’ shared inboxes (unless configured individually)
❌ Automatically route email to automation folders
It only syncs new and future messages once connected.
