Use this checklist when setting up or auditing your email sending configuration.
Phase 1: Before You Start
✔ I own the domain I’m using (ex: mintfc.com)
✔ I know where my domain is hosted (GoDaddy, Google, etc.)
✔ I have login access to my domain provider
✔ I chose a subdomain (ex: send.mintfc.com)
✔ I am not using my main website domain directly
Recommended format:
send.yourdomain.com
mail.yourdomain.com
email.yourdomain.com
Phase 2: Adding the Custom Sending Domain in FranFlow
✔ I went to Settings → Custom Domains (or Email Services)
✔ I added my subdomain exactly as written
✔ I copied all DNS records FranFlow generated
✔ I did NOT edit or shorten any values
Common mistake:
❌ Leaving off part of the record
❌ Adding extra spaces
❌ Typing manually instead of copy/paste
Phase 3: Adding DNS Records at My Domain Provider
For each record FranFlow gave me:
✔ Record type matches exactly (TXT / CNAME / MX)
✔ Host/Name matches exactly
✔ Value/Points To matches exactly
✔ No extra spaces before or after
✔ TTL left as default
After saving:
✔ I waited at least 5–15 minutes before verifying
✔ I understand full propagation can take up to 24 hours
Phase 4: Verifying the Domain in FranFlow
✔ I returned to FranFlow
✔ I clicked Verify or Resync Records
✔ My domain now says Verified
If it does NOT say verified:
✔ I rechecked DNS entries
✔ I waited longer
✔ I confirmed I added them to the correct domain
Phase 5: Creating the LC Lead Email
✔ I went to Settings → Email Services
✔ I selected my verified sending domain
✔ I created an LC Lead Email
✔ It looks like: [email protected]
✔ I set it as my default sender
✔ I sent myself a test email
Phase 6: Deliverability Check
✔ I sent a test email to Gmail
✔ I sent a test email to Outlook
✔ It did NOT go to spam
✔ The “From” address looks correct
✔ No warnings in email headers
Ongoing Maintenance Checklist
Review monthly:
✔ Domain still shows Verified
✔ LC Lead Email is still default sender
✔ No DNS records accidentally removed
✔ No duplicate sending domains created
Quick Health Audit (2-Minute Check)
Go to Settings → Custom Domains
Ask:
✔ Does my domain say Verified?
✔ Is my LC Lead Email active?
✔ Have I tested sending recently?
If yes → You’re good.
If not → Review troubleshooting guide.
Red Flag Warning Signs
🚩 Emails suddenly go to spam
🚩 Domain shows Unverified
🚩 Someone changed domain hosting provider
🚩 DNS records were edited
🚩 You changed website domain recently
If any of these occur → Re-verify immediately.
