How to Set Up Two-Way Email Sync in FranFlow

Two-way email sync connects your email inbox (Gmail or Outlook) to FranFlow so you can send and receive emails directly inside the platform.

Once connected, FranFlow will:

  • Send emails from your email address

  • Receive replies automatically

  • Track all communication inside contact records

  • Keep your conversations organized in one place

This allows you to manage all candidate communication without switching between tools.

What Is Two-Way Email Sync?

Two-way sync means:

Emails sent from FranFlow → appear in your inbox
Replies from candidates → appear in FranFlow

Everything stays connected and up to date.

Before You Start

Make sure you have:

✔ Access to your email account (Gmail or Outlook)
✔ Login credentials for your email
✔ Permission to connect third-party apps

Step 1: Navigate to Email Settings

  1. Log into FranFlow

  2. Click Settings

  3. Select Email Services

This is where you manage your email connection.

Step 2: Connect Your Email Account

You will see options to connect:

  • Google (Gmail / Google Workspace)

  • Outlook (Microsoft / Office 365)

For Gmail

  1. Click Connect Google Account

  2. Log into your Google account

  3. Click Allow to grant permissions

For Outlook

  1. Click Connect Outlook Account

  2. Log into your Microsoft account

  3. Click Accept to grant permissions

Step 3: Confirm Connection

Once connected:

✔ Your email will show as Connected
✔ FranFlow can now send and receive emails
✔ Your inbox is synced

What Happens After You Connect

After setup:

  • Emails sent from FranFlow come from your real email address

  • Replies from candidates appear in Conversations

  • Email history is stored on each contact record

  • Workflows can send emails on your behalf

This keeps all communication centralized.

Where to Send Emails in FranFlow

You can send emails from:

  • Conversations inbox

  • Contact records

  • Workflows (automated emails)

All messages will sync with your connected inbox.

Important Best Practices

Use Your Business Email

Always connect your business email, not a personal Gmail (if possible).

Example:

Keep FranFlow as Your Source of Truth

Once connected, try to manage candidate communication inside FranFlow.

This ensures:

  • conversations are tracked

  • workflows function properly

  • nothing gets missed

Test Your Connection

After setup:

  1. Send yourself a test email

  2. Reply to it

  3. Confirm both actions appear in FranFlow

Common Issues

Emails Not Showing in FranFlow

Check:

  • Your email is connected

  • You are logged into the correct account

  • Try refreshing or reconnecting

Replies Not Syncing

Try:

  • Disconnecting and reconnecting your email

  • Checking permissions were fully granted

Emails Sending but Not Delivering

This may be related to:

  • email domain setup

  • spam filtering

  • missing DNS configuration

When to Reconnect Your Email

You may need to reconnect if:

  • your password changes

  • permissions are revoked

  • emails stop syncing

Why Two-Way Sync Is Important

Without two-way sync:
